Support & Documentation

Find help with your FourFourFive account, Xero integration, and our products.

    1. Getting Started

FourFourFive is a suite of tools built for accountants, bookkeepers, and businesses that use Xero. Each product solves a specific pain point - from converting BACS payment files to scanning for recurring transactions.

    Creating your account

You can create an account using either:

    • Email and password - sign up with your email address and choose a password.
    • Sign in with Xero - use your existing Xero account to create and sign into your FourFourFive account. This only uses your Xero identity (name and email) for authentication - it does not grant access to your Xero accounting data.

    Your dashboard

Once signed in, your dashboard shows all available products. Click any product tile to get started. You can also access your account settings, organisation management, and billing from the sidebar.

    2. Connecting to Xero

Several products require a connection to your Xero account to access accounting data. This is a separate step from signing in with Xero - even if you used Xero to create your account, you still need to explicitly connect your Xero organisations to use Xero-integrated features.

    How to connect

    1. Navigate to Settings > Connections, or open a product that requires Xero access.
    2. Click Connect to Xero. You will be redirected to Xero's login page.
    3. Sign in to Xero (if not already signed in) and review the permissions requested.
    4. Choose which Xero organisations you want to connect.
    5. You will be redirected back to FourFourFive. Your connection is now active.

We use the industry-standard OAuth 2.0 protocol. We never ask for or store your Xero password. You can connect multiple Xero organisations and manage them individually.

    Disconnecting

You can disconnect a Xero organisation at any time via Settings > Connections. You can also revoke access directly from your Xero account under Connected Apps. Once disconnected, we can no longer access data from that organisation. You can reconnect at any time by repeating the steps above.

    3. Bank-Bridge

Bank-Bridge converts BACS payment files exported from Xero into bank-specific upload formats, saving you from manual data re-entry.

    How to use Bank-Bridge

    1. Export a payment file from Xero or your payment system, such as payroll or supplier payments.
    2. Open Bank-Bridge from your dashboard.
    3. Upload your file (.txt, .bax, .bac, or .csv). Both BACS Standard 18 and Santander Standard Connect bulk payments files are accepted, and the format is detected automatically.
    4. Select your target bank format (e.g. Santander bulk payments, Virgin Money CSV, Bankline/NatWest, Revolut, Allica Bank, Monzo).
    5. Download the converted file.
    6. Upload the converted file to your bank's payment portal.

    Privacy note

Bank-Bridge processes files entirely in your browser. Your payment data is never uploaded to our servers. The conversion happens locally on your device.

Bank-Bridge does not require a Xero API connection - it works directly with the BACS file you export from Xero.

    4. Recurring Spend for Xero

Recurring Spend scans your connected Xero organisations against configurable rules to identify transaction patterns - helping you spot recurring commitments and expenditure across your client base.

    How to use Recurring Spend

    1. Connect one or more Xero organisations (see Connecting to Xero).
    2. Set up scanning rules based on criteria such as account codes, descriptions, amounts, or date ranges.
    3. Run a scan across your selected organisations.
    4. Review findings - matched transactions are displayed with full context including the source organisation.
    5. Export results for review, reporting, or client discussions.

    Key features

    • Firm-wide visibility - scan across all connected Xero organisations in one go.
    • Customisable rules - define exactly what patterns you are looking for.
    • Exportable evidence - download findings for use in reports or discussions.

    5. Timesheets to Xero

Timesheets to Xero will bridge timesheet data directly into Xero payroll, removing the need for manual re-entry. This product is currently in development and will be available soon.

If you would like to be notified when Timesheets to Xero launches, please get in touch and we will keep you updated.

    6. Purchase Order Importer

Purchase Order Importer lets you create purchase orders in Xero from CSV files, simplifying bulk entry.

How to use Purchase Order Importer

    1. Connect your Xero organisation (see Connecting to Xero).
    2. Prepare a CSV file with your purchase order data, including columns for contact name, PO number, date, quantity, unit amount, account code, and tax type.
    3. Upload the CSV. The tool validates your data and groups rows by PO number automatically.
    4. Review contact matches and resolve any mismatches against your Xero contacts.
    5. Submit. Purchase orders are created as drafts in Xero for you to review before approving.

    Key features

    • Smart grouping - rows with the same PO number are automatically grouped into a single purchase order.
    • Contact validation - contacts are matched against your Xero organisation before submission.
    • Draft creation - purchase orders are created as drafts, giving you a chance to review before finalising.

    7. HMRC Agent Helper

HMRC Agent Helper will streamline interactions with HMRC by handling call queue navigation and hold times on your behalf. This product is currently in development and will be available soon.

If you would like to be notified when HMRC Agent Helper launches, please get in touch and we will keep you updated.

    8. Managing Your Organisation

When you create an account, a personal organisation is set up for you automatically. Organisations are workspaces that can include multiple team members.

    Inviting team members

To invite someone to your organisation, go to Settings > Organisation and send an invitation by email. They will receive a link to join your organisation.

    Member roles

    • Owner - full control over the organisation, including billing and member management.
    • Admin - can manage members and access all products.
    • Member - can access products available to the organisation.

    9. Billing and Subscriptions

Some products may require an active subscription. You can view and manage your subscriptions at any time via Settings > Billing.

    • Payment processing - all payments are handled securely by Stripe. We never store your full card details.
    • Cancellation - you can cancel a subscription at any time from Settings > Billing. You will retain access until the end of your current billing period.
    • Pricing - details of available plans and pricing can be found on each product's page.

    10. Data, Privacy, and Security

We take data protection seriously. Here is a summary of how we handle your data:

    • We only access Xero data you have explicitly authorised via OAuth.
    • Xero transactional data is processed on demand and not persistently stored beyond what is needed to provide the service.
    • All data in transit is encrypted via TLS/HTTPS.
    • Row Level Security ensures users can only access their own data.
    • We do not sell, share, or use your data for advertising or third-party purposes.

For full details, please refer to our Privacy Policy and Cookie Policy.

    Deleting your data

You can delete your account and all associated data via Settings > Profile. This permanently removes your profile, Xero connection tokens, and organisation membership. Alternatively, you can contact us to request deletion.

    11. Troubleshooting

    I cannot connect to Xero

Ensure you are signed into the correct Xero account. Check that pop-ups are not blocked by your browser, as the connection flow opens a new window. If the connection fails, try disconnecting and reconnecting via Settings > Connections.

My Xero organisations are not showing

After connecting, you may need to refresh the page. If specific organisations are missing, check that your Xero user has access to them in Xero's own user settings.

    I cannot sign in

Try resetting your password via the sign-in page. If you originally signed up using Xero, use the "Sign in with Xero" button rather than email and password.

I see a subscription or access error

Check that you have an active subscription for the product you are trying to use. You can view your subscriptions at Settings > Billing.

A team member cannot access a product

Ensure they have been invited to your organisation and that the organisation has access to the product in question.

I want to revoke FourFourFive's access to my Xero data

Go to Settings > Connections and disconnect the relevant organisation. You can also revoke access directly from your Xero account under Connected Apps.
